Summary:
The Assistant Tribal Administrator (Assistant Project Director) is a full-time (1 FTE), grant-funded position that provides day-to-day administrative, logistical, and clerical support to ensure effective execution of grant-funded project activities. Reporting to the Tribal Administrator, this role is central to maintaining organized records, coordinating communication between stakeholders, and supporting the implementation of community engagement, governance planning, and reporting functions.
Job Responsibilities:
•Maintain digital and physical filing systems for project records, contracts, meeting notes, and reports.
•Schedule and coordinate meetings; prepare agendas, take minutes, and track follow-up tasks.
•Assist with preparation of grant reports, project data tracking and internal documentation.
•Support logistical planning for community outreach events, including securing venues, supplies, and communication with participants. Process procurement and supply requests in accordance with tribal policies.
•Assist with drafting correspondence, public announcements, and communication materials.
•Maintain sign-in sheets, feedback forms, and other event-related documentation.
•Coordinate consultant and tribal citizen communications and support onboarding of project staff.
•Other duties as assigned by the Project Director.
Position Requirements:
•High school diploma or GED required; associate’s degree in office administration, business, or a related field preferred. Minimum of two (2) years of relevant office, administrative, or project support experience.
•Proficiency with Microsoft Office Suite and basic data entry systems.
•Excellent organizational and time management skills. Strong written and oral communication skills.
•Ability to maintain confidentiality and work with sensitivity in tribal contexts.
Preferred Qualifications:
•Experience working on tribal or federally funded projects.
•Knowledge of Indigenous community engagement practices and documentation standards.
•Familiarity with grant reporting and records retention practices.
Compensation:
$52,000 Annually, Salaried Position
Working Conditions: This position is based in an office environment, with occasional travel within the tribal community for events and meetings. Confidentiality, professionalism, and adaptability are required. Employment is contingent on continued grant funding.
